Castmagic (Content Repurposing)
⭐⭐⭐⭐
This has become my go-to tool for podcast tours! It lets me pull the episodes directly from the podcast feeds or Youtube, rather than having to ask the host for the file. 🙌 Then I grab everything I need to make social media posts, and we’re off to the races! Having an automated workflow like this saves a lot of time as I build my Visibility Ecosystem.
It’s still relatively new, so they’re continuing to work on the tool, but it’s been getting better by leaps and bounds since I first started using it. The team is also very interested in hearing from their user base as to what we want to see next!
Vista Social (Social Media)
⭐⭐⭐⭐⭐
We’ve gone through quite a few social media scheduling tools, but Vista Social has a lot of features the others haven’t. It’s been one of the first schedulers that could schedule collaborative Instagram posts as well as Threads posts, for one! You can get a unified inbox for all of your social media accounts and even create tasks inside Vista Social. The reports are super helpful too, especially for platforms like Threads where it’s hard to get that info!
Descript (Video/Audio Editing)
⭐⭐⭐⭐
We’ve been using Descript since 2020 for everything from podcasts to full-blown virtual summits. This is also what we often use to create short-form videos for social because Descript is super versatile in the designs you can create. If you’re just going to use it for podcast tours, it may not be fully worth it, but if you have your own podcast or want to level up your Reels or TikToks, for example, it could pay for itself pretty quickly!
We’ve been a little frustrated at how Descript handles file management, which is why I couldn’t give it five stars, but it’s been worth dealing with because you can edit videos and audio through the transcript instead of traditional editing methods! It saves a ton of time, even when taking into account the frustration.
ConvertBox (Opt-in Forms + More)
⭐⭐⭐⭐☆
We switched to ConvertBox a little while back and it is SO easy to use! It’s incredibly versatile, too. You can use this not only for opt-in forms, but also for segmenting new email subscribers, limited time offers, targeting specific groups of customers, or A/B testing offers. You can get pretty creative with your ConvertBoxes!
I can’t give it 5 stars because you can only have one copy of the same ConvertBox on a page. It’s kind of frustrating, because with the tool we switched from, you could have the same form in multiple places on a page because the embed method was different. However, ConvertBox is good enough to make it worth the switch (and the customer support has been good, which is always one of my factors!).
Interact (Quizzes)
⭐⭐⭐⭐⭐
I’ve been using Interact for opt-in quizzes for years. It’s super simple, but you can do a lot with it! I’ve used it for regular quizzes and assessments, but I’ve also created quizzes that segmented my summit attendees and created custom summit schedules for them.
As long as you’re using a relatively mainstream email marketing platform (e.g. ConvertKit), you can connect it very easily and get granular info from it. I’m using a non-mainstream platform (Encharge), so I can’t get as much info passed in there, so I can’t use it for summit segmentation quizzes anymore. Just keep this in mind if you aren’t using one of Interact’s direct integrations!
Marketing Magic (Content Creation)

I love this tool – it’s created by another online business owner, and I swear Menekse’s thought of EVERYTHING! And yet, she’s consistently adding more and more droolworthy tools. 😍 You can use this tool to create everything from blog posts, sales pages, emails, funnels, SEO, and SO much more.
Marketing Magic is incredibly easy to use and Menekse has a community forum for support. Her team is really great, too!
VideoAsk (Video Funnels + More)
⭐⭐⭐⭐⭐
With VideoAsk, you can create video quizzes, asynchronous coaching portals, and even record asynchronous panels! I’ve used it for all of these things, and I feel like I haven’t even touched the limits of how creative I can get with it. 🙌
Before you get into it, make sure you have a plan to make it worth it. VideoAsk isn’t the cheapest, but it can be SO powerful for sales conversions and client experience!
Heartbeat (Community Hosting)
⭐⭐⭐⭐⭐
If you’re as tired of Facebook groups as I am, Heartbeat may be exactly what you’re looking for! It’s like a cross between the channels of Slack and the ease of use from a Facebook group. You can also include things like courses, events, and even automating workflows (like sending a welcome message to new members).
It’s super easy to use and their support team has been great when I have questions. I’ve had great feedback from community members too!
If-So (On-page Segmentation)
⭐⭐⭐⭐⭐
If you use WordPress, If-So could be a great booster for conversion! It can also save you time on creating multiple versions of the same page. The way I use it the most is to create a single opt-in page for summits, podcasts, and other speaking opportunities and then customize what shows up on the page. That way, I can have one page, but have it say “Hey, I’m so glad you found me on THIS SUMMIT!” so that it still feels custom.

Hello Audio (Private Podcasting)

This has got to be literally the easiest tool I’ve EVER used! I can recommend it whole-heartedly to anyone, even my most tech-averse friends. 🎉 Private podcasts are kind of sweeping the online business world, but it’s for good reason: they’re very accessible and engaging.
If you’re tired of creating PDFs, mini-courses, or eBooks as opt-in freebies, give Hello Audio a try! It’s also fantastic for to make your courses, coaching, and other offers even more accessible to your clients.
ThriveCart (Offer Checkouts)
⭐⭐⭐
You’ve probably heard about ThriveCart, but maybe you haven’t pulled the trigger yet. It took me a few years to jump in, but it’s been so worthwhile! The lifetime pricing makes it a great deal, and the interface is pretty easy to use.
That said, the reason it only gets three stars is because of their support. That’s a huge factor for me, and their support and customer experience is quite lacking. Their support team will eventually get back to you and is usually reasonably helpful, but it can take longer than it should to get that response. When it comes to new features, ThriveCart isn’t transparent with their roadmap and keeps rolling out bug fixes almost exclusively and features that no one actually seems to want, in the rare times they do actually roll out new features. It’s been very frustrating, but the price still makes it worth it for most folks! Just wanted you to be aware of it before you jump in. They do have a money-back guarantee if you’re not happy with it, though.

Learn+ (Course Hosting)

Want to host your courses without absurd monthly charges? Learn+ is part of the ThriveCart ecosystem, so it’s a lifetime deal. You do need to have ThriveCart in order to use Learn+, so just keep that in mind.
As long as you don’t need super crazy complicated features, Learn+ will probably work for you. ThriveCart comes with the basic Learn platform, but upgrading to Plus will unlock really helpful features like tagging students so you don’t have to create multiple courses to segment students’ access to certain lessons. Youtube’s got ads. Vimeo’s not cheap. I wanted a video hosting platform that wouldn’t cost an arm and a leg or have ads for my course videos. Wave fit the bill! It includes live streaming and webinar options on every plan, as well as an editor.
